How to finalise your trade – sending your share certificates

Once you have started the sale of your share certificate(s) either online or via telephone, you will be sent a contract note and a pre-filled CREST Transfer form. A contract note sets out the title of the stock, the price, commission paid and any other costs. Keep this document safe as it will be needed for tax purposes.

If you would like to get started, you don’t need to wait for the post, simply download the form to complete.

You need to send us your share certificate(s) with the signed CREST Transfer form to complete the sale process. We recommend sending these via registered post for enhanced security.

For example with a £75,000 trade, first £50,000 would be charged at 1.5% and the balance of £25,000 at 0.25%.

The sale timeline, step by step

This timeline provides an indication of the earliest possible time that each part of the sale process may be completed.

  • Day 1 – The sale is placed, you have entered into an agreement with Shareview Dealing to sell your shares on the UK stock market.
  • Day 1 to 2 – A contract note confirming the sale and pre-filled CREST Transfer form will be sent to you via first class post.
  • Day 2 to 3 – Your contract note and CREST Transfer form should have arrived by post. By returning the signed form and your share certificates quickly, you’ll be able to receive the money from the sale at the earliest opportunity.
  • Day 3 – The sale of Equiniti registered shares will be settled. If you have already sent your documents, you can now expect the money to be transferred to you.
  • Day 8 & 16 – A chaser letter will be sent to you if you have not sent in your documents.
  • Day 11 – For shares sold in a company where Equiniti is not the Registrar and if you have sent your documents, the sale will be settled on day 11. You can now expect the money to be transferred to your account.


Please note that if we do not receive your documents by day 23, we have to buy back the shares. You will still be charged the trading commission, additional charges (duties and levies), as well as paying for any change in the share price.

Payment for your share sale

Once we have received your documents (Share Certificate(s) and CREST Transfer form) the money from the sale will be sent to you, by your choice of BACS or a cheque.

BACS usually take three working days to show in your account, from the day the payment is released. If we’re unable to validate your bank details, a cheque will be issued to you.

Shares from a deceased estate

To sell shares as part of a deceased estate you have two options:

  • You can transfer shares from a deceased estate into your name to sell these through our share certificate trading service. To request to transfer share certificate(s) into your name, please see the following link to register the death and then make the transfer.

Transfer Estate shares 

  • You can sell share certificates in the name of a deceased individual, by using our postal share dealing service.

Postal share service 

From paper to holding share certificates online

If you would prefer to keep your current shareholding, you may be able to transfer paper share certificates online if Equiniti is the Registrar of your shares, and the company offers a Corporate Sponsored Nominee (CSN).

This means your shares will be held electronically for enhanced security, and you have the convenience of trading your shares online.

Check whether the company in which you hold shares offers a CSN with Equiniti.
